Dtech Softwares (“we”, “us”, “Provider”) is the data controller of personal data processed through dtechsoftwares.com, our customer portal, licensing systems, and related support. This policy is issued under the Data Protection Act, 2012 (Act 843) of Ghana and should be read with our Terms and Conditions, Cookie Policy, and ISMS Policy.

1. What we collect

Depending on how you use our services, we may process:

  • Identity and contact details (name, organisation, email, telephone, postal or delivery address, P.O. Box).
  • Account credentials and role information (customer, partner, or administrator).
  • Order, invoice, tax, and payment references. We do not store full payment-card numbers; those are handled by certified processors such as Paystack, Stripe, or PayPal.
  • Licence and activation data (licence keys, edition, expiry, machine or installation identifiers, and activation or deactivation events).
  • Support, chat, ticket, and project-request content you send us.
  • Technical logs reasonably needed for security and operations (IP address, browser type, and similar).

Where you supply personal data of pupils, patients, or staff for a school, clinic, or SME system, you remain the data controller of that operational data. We process it only as needed to provide the licensed product or agreed service.

2. Why we process it

We process personal data to:

  • enter into and perform a contract with you (accounts, checkout, licences, downloads, custom work, and support);
  • comply with Ghana tax, accounting, and other legal duties;
  • protect the security and integrity of our platform and licence systems (including fraud prevention);
  • send service messages (order, licence, and security notices);
  • send marketing only where you have subscribed or we may lawfully do so, and you may unsubscribe;
  • improve products where we use aggregated or anonymised information that does not identify you.

3. Sharing

We do not sell personal data. We share it only with:

  • payment, hosting, email, and SMS providers who process it on our instructions to operate the service;
  • professional advisers or authorities where required by law or to protect our legal rights;
  • a successor if our business is reorganised, on equivalent confidentiality terms.

Our website and systems may be hosted outside Ghana. Where data is transferred, we take steps that are reasonable for our size and the nature of the data, consistent with Act 843.

4. Retention

We keep account, order, tax, and licence records for as long as needed to perform the contract and to meet Ghana revenue and limitation periods, then delete or anonymise them where practicable. Support tickets and logs are kept for a period appropriate to security and service quality.

5. Your rights

Subject to Act 843, you may request access to, correction of, or (in appropriate cases) deletion of personal data we hold about you, and you may object to certain processing. Send requests to the contact below. You may also lodge a complaint with the Data Protection Commission of Ghana.

6. Children

Our storefront is directed at organisations and adult purchasers. We do not knowingly market licences to children. School systems may process pupil data only under the school’s authority and purposes.
